On-line match registration, and the no-show problem.

I absolutely love Omen's on-line registration system for IPSC match registration. Unfortunately, I'm hearing frequent complaints about no-shows, and the coresponding numbers of frustrated shooters who may feel they can't catch a break on registration.

On the 5 hour drive back from EOHC last night, Mr. Clean and I discussed the matter. Specifically, how can we monitor and possibly correct the problem of chronic no-shows or last minute withdrawls.

Now I recognize that life happens, and people can and do run into valid last minute conflicts. Any change to the current system has to respect that fact. However, I had a few ideas I'd like to run up the flagpole and see if anyone agrees or thinks I need to change the bong water.


What I'm suggesting is that the match directors be given the ability to assign one or two system demerit points to a shooter for late withdrawl or not showing up.

1) Since deadlines are a sad reality, I suggest the latest a person ought to be able to withdraw without penalty be 8pm of the evening before the match.

2) A late withdrawl would incure a one point demerit.

3) A no show would incure a two point demerit

4) At 5 accumulated points in a 12 month period, the shooter would loose the ability to register early for a match.

5) To keep things equal, matches would open for registration on the Monday at 7pm three weeks prior to the match.

6) Shooters with 5+ demerits would not have access until the Monday evening 2 weeks prior to the match.

Another issue that came up is the waiting list, and the likelyhood that a shooter will notice they are on the squad if they move up due to a late withdrawl. If the demerit system was adopted, there would be a risk that shooters could earn demerits only because they didn't realize they made the squad.

My suggestion is that no change be made for the waiting list up until 48 hours before the match. Within 48 hours to the start of the match, having the shooter reply to an e-mail would ensure he's aware of the spot.

And then we have the issue of newbies or folks without computer access. I suggest that allowing the match director to set aside a small percentage of the spots for mail/phone in entrys.



So I turn the discussion over to the board. Do any of these ideas address the areas of concern? Do they make a good system worse or better? Have you got a better idea?

As a match director, would this make your job easier or harder?
 
Unfortunately, that system has been flawed from Day One. Not due to Omen - it is a nice luxury to everyone and he deserves a lot of thanks, but due to human nature. Unless you offer a REAL penalty for no-shows, it's going to remain flawed. I know you can't do monetary deals, but I'd suggest nastier penalties than you do above.

Specifically, ban the shooter from the system for a no-show for 2 months. They can come to the match at the start of the match day and hope they get to shoot sometime that day. (Maybe someone else will no-show :)) If the shooter has some really valid excuse for being a no-show, he can explain it to the MD he let down and the MD can go in and repeal the banishment if he feels the excuse is valid.
 
...it's simple...don't open access to the match so early (in some cases it's 3 or 4 months) and require prepayment...

No Shows and Late Withdrawals

While I can attest this issue is frustrating to MDs, I found that for the three matches we held at the FRPC this season, the number of no-shows and late withdrawals was not large and seemed to be directly related to the weather. I do believe however that the shooters who do not show should be tracked in some way. Trends would become evident quickly and MDs would be forwarned. Club reps are all listed on the IPSC Ontario website and there is no reason for shooters not to convey their regrets in the event they cannot attend the match they have signed up for.

Yes the prepayment system is great and does exist. However as Quigley indicates it is only used for Level III matches.

As a matter of fact I think it has only been used at one or two Triangle matches and the past two Drama Daze matches...

My logic for this would be the added cost to the shooter of $1.50 per EMT. Adding this to a $10 level 1 match does not make much sense.

Maybe there is no fix, other than accepting the fact that there will be no shows.

Maybe MD's need to look at the reason for no shows - weather (probably the biggest factor), scheduling your L1 the same day as another nearby clubs L2, personal issues, etc.

What is the IPSC Ontario position on penalizing no shows? Can a shooter be excluded from a match for failing to show up at 1, 2, or 3 previously entered matches, whether it be online or via telephone or email?

I realize that there can be people that don't get a slot and could have shot a match due to a no show - but how many people are losing sleep over this?

We all have our opinions, just like on political issues, but some things just can't be fixed to please everyone every time.
 
There is store near my House (in small Town) who put your Name on big board if you bounce a check. Public shaming is good. Reasonable notice is always acceptable, NO Shows are NOT
 
Simple solution.. have the system restrict sign up lead times based on the number of cancellations.. the more cancellations you have then less time you can sing up before the match.

eg.. if your cancellation rate for the last 5 matches was 25%, then if the time the match opens up is 4 weeks before, then the system won't let YOU sign up until 3 weeks before..(when everyone else gets 4 weeks) you can still sign up for the match, but the worse you are, the more of a chance that the other slots will be taken by people who will actually show up. and you will get on the waiting list..
 
Well as a comparison in Alberta we generally open our matches up three weeks in advance. if payment is not received by the Monday before the match, you do not get squadded and you have to pay the late fee ($10.) for summer matches the no squadding is not really a big deal since in Alberta you have to be there for the whole day, however it does mean you get put where ever (no squadding request.) in our winter indoor matches it does make a difference since you can shoot in the AM or the PM.

As for no shows, Short of a copy of your mothers death certificate or a work note, you loose your match fee. if you have an acceptable excuse you get a credit.

However even after all of this we still end up with no shows. Usually between 5% to 10% but still enough to make squadding a challenge the morning off the match.
