With 5 out of ~30-40 members helping, I'd cancel the event.
Of the 5 I think 3 are non-members too.

Being this is the first year doing it at Milo we had to guess as to when we needed to shut the range down. But, if no one shows up to help it doesnt matter because the regular crew cant do it all themselves regardless of time. Next year we can propose shutting it down the full day prior. But I dont think that is needed. If we have 2 additional people helping per stage. Each group would only need to setup one single stage, that could be done in an hour. It takes such a long time because we are getting the same 4 people TOTAL doing it all. (And one of them already quit because of lack of help)
We did talk about charging more and hiring locals. We would still need someone out there to supervise the setup and finding reliable locals is an unknown right now. After the match I will run into town and take with one of the store owners to see if they have an AGM or something like that we could post it at.
An hour of setup is fine if everyone showed up like you said. But if less than full numbers show up I'm not willing to stay late to finish the job. Based on the last time where the guys ended at 11PM that means home for about 12:30(midnight) then back up for 6AM to make the match, no thanks.. Closing the range on Saturday for an early setup/start would make more sense. Even if a full turnout of volunteers didn't show up the remaining ones could have it done with plenty of time to spare for the drive home or even some range time.
Again there is no argument. We cant just snap our fingers though and shut the range down outside of schedule. Certainly not 2 days before the shutdown. (Advanced notice needs to be mailed out to the membership. **And please dont say email them as that is a whole other can of worms**)
Set a timeline for your self and leave when you need to. Even a couple hours of help from 2 - 6 would be a WORLD of difference for the crew and be much appreciated.
I'm saying the lack of organization is preventing you from getting the help you need.
I'm not trying to be rude either. Sorry if it comes out that way.
I know this is the first year at Milo, but this isn't the first match of the year. I think if you're open to suggestions then it'll work out in everyone's favour for next year. Close the range for the day (or at least the bays you need, I know we don't use all of them) give more notice as to when you need volunteers, if possible charge more and hire people. Ask the match directors at other ranges for advice and tips. They've all been through the same thing as well. I like the pamphlets you guys give out. Keep those as reference so you can run them again another year.
I will be out early Sunday morning I can help with any loose ends. Also I the last two matches we have used my Truck for teardown, It will be available again.
I'd still vote cancel it. This can be done at the click of somebody's fingers.
As mentioned, the club has to think about it's other 1250 members. You can't simply close the range without proper notification. 3G takes up quite a few ranges so it's a sizeable measure to take to see if help comes. The past has shown it doesn't help. When we set-up in Sheppard from 8:30-11ish at night for the following day's competition, people never showed. There was about 7 people. The same people are still doing it today.
These people have competed for years in Southern Alberta. We have pretty good reports with all past and present match directors from other 3G events.
It should be noted that the WRAS guys also come down here and help out with our events. Shows bad when they do more work than most(all) of our members and they are driving 4+ hours one way.
Good luck with the shoot guys. I'm sad I'm missing it. Can't say I'd be happy to help put it on with the poor showing of help.
