My concern is that all this is discussed on a very public forum is there no better way ??

Why not email the Board with your concerns?
If they answer or not,at least you have a hard copy for future use.
I don't think that anything posted on GunNutz regarding the issues have any relevance as far as the IPSC Ontario Board is concerned.
Bombard the Board members with emails for answers!
 
why wouldn't you have your AGM at your Provincials? it makes sense to me. it's the only time you're going to get a strong representative gathering of members isn't it?

10 to 15 show up. At least those were the rough numbers for the past 5 years.

That's how many showed up at Sharon. ESSA and Guelph (the two previous years) both had a much better attendance.

20 to 30. Out of how many? Compated to the numbers of the membership it is kind of low.:(

I don't know about Guelph but I was at EESA. Sure, there was maybe 25 in attendance there. We talked in circles for about 1.5 hours before Dino started orating in his inimitable style. Nothing was accomplished at the meeting and little or nothing came out of it.

At Sharron what was it, 2 of the BOD and 10 members. What was accomplished?? Does the whole BOD ever attend?? NO.

Maybe the AGM should be held immediately following the crew shoot on the Wednesday. There would be [more] interested members in attendance.

Yes but if you actually READ how you fixed it and comprehend the meaning of the words you will discover that it has backfired.

If one IMBIBES something it would follow that they do not emit that same thing. Thus others are creating the thing that is being imbibed. Somehow I think you meant to imply the opposite.

I've been to all 3, and attendance didn't see to make much of an impact to what was accomplished at all 3.

Having more people, created issues around keeping the AGM on track. (as you would expect.)

it would be nice to have the AGM done properly (that is not just a comment directed at the board but also at the members who think its fair to the rest of us, to bring things up last minute and expect everyone to vote on them).

1) proxies sent out a head of time with specific voting instructions for items on the agenda. (and a clause for "any other business")

2) any material which is relevant to be sent out with the proxies ahead of time (EG Read this one as.. if you expect the members to vote on constitution, don't present it at the meeting, give the changes out WELL in advance, and have the questions brought up at the meeting..)

3) Asks members well in advance to have something prepared if they want members to vote on it, and include it in the package that goes out with the proxies.

4) make a CLEAR agenda and stick to it.. if you are running late on "new business" than call the vote.. too bad for people who have not prepared, and sprung it last moment (Roberts Rule of Order helps provide the ability to keep items on track)

5) Since you have no constitution, then you do not HAVE to allow new business from the floor.. again to keep things on track and professional, then it makes the members RESPONSIBLE to doing the proper thing if they want to raise an issue (all it needs is a name and a time allocation) and have everyone prepared to discuss it.

6) proactively Solicit input from the members before the AGM is called "Eg.. "last call for any who wants specific items to be discussed at the AGM" have your info package prepared by ### date.."

There are many things the BOD could do, to try and get members involved and at the AGM, but without letting it get out of control.

Another good example (99% of mature companies/organizations I belong to do)

Send out the year end statements BEFORE the agm so people have
A chance to read it properly, and bring well informed questions. Again respect the
Members by not springing it on them at the agm (or... is someone afraid that certain questions will be asked... that's the immediate question that comes to mind when its not circulated ;) )

Yes young Quigley, of course I can take it. I just find it very satisfying to give more than I receive. Not being sanctimonious to the degree required to change what others have written, I simply respond. Were I a self appointed apologist for bumblers, cretins or idiots I might take it upon myself to use what little wit was available to me to do otherwise. Kvetching about others’ statements or questions as whining ill becomes a gentleman but is certainly appropriate for a boy.

I have resigned from the board and nothing else-once I have taken a little time to regroup I will return to my teaching and officiating and shooting with a vigour.
